Is the solution GDPR- and AI Act-compliant?
Yes. Our AI solutions are fully GDPR-compliant. Most of the requirements of the upcoming EU AI Act—such as the clear labeling of AI systems, regular user training, and responsible handling of sensitive data—were already standard practice for us even before the Act’s creation process. The main new aspect is the mandatory classification of our AI applications into a risk category. Depending on the specific use case, they are classified as minimal or low risk. In close consultation with leading German data protection experts, we continuously monitor all legal developments and adjust our processes accordingly, ensuring you can rely on a legally compliant solution that guarantees secure and lawful operations at all times.
Where are the data hosted and processed?
Our AI Agents Platform—the central core of all Bots4You AI solutions—runs exclusively in the Open Telekom Cloud in German data centers. These centers adhere to especially high security and data protection standards, implemented fully in compliance with GDPR. Should subcontractors (sub-processors) be involved, they are based in the EU and subject to the same strict European data protection regulations. No data processing takes place outside the EU, ensuring that all data remains under European jurisdiction and is reliably protected from access by insecure third countries.
How is encryption implemented ?
We use modern encryption methods throughout to protect your data. All data transfers use TLS/HTTPS—meaning all connections are encrypted using current protocols. Data at rest (in storage) is also encrypted in accordance with the latest standards (e.g., AES-256). We manage the keys securely and exclusively, ensuring your information is optimally protected both in transit and at rest.
Which role and permission management functions are available?
Our platform features fine-grained role and permission management. You can define different user roles for your organization with individual access rights, allowing you to specify exactly which employees have access to which data or functions. As a result, confidential information remains strictly accessible only to authorized personnel. This principle of minimal privilege ensures that each user sees and does only what is necessary for their role.
Are my data shared, mixed, or used for model training?
No. Your data belongs exclusively to you and is neither shared nor combined with other customers’ data. Each customer instance is strictly separated from others (multi-tenancy). We do not share any data between different customers or user accounts—this applies to both uploaded documents and all chat and voice sessions. Likewise, your data is not used to train our AI models. Our AI components only process your inputs to provide the requested results and do not store them permanently.
Which security certifications exist?
Our cloud infrastructure meets recognized security certifications. Our data centers are certified according to ISO/IEC 27001 and have been audited according to the BSI C5 requirement catalog. The Open Telekom Cloud also holds additional certifications and reports such as SOC 1/2/3 and TISAX (Level 3) for automotive security. Moreover, our AI Agents Platform bears the “Software Made in Germany” seal, and we are a certified member of the German AI Association (KI-Bundesverband). Regular external audits ensure that we meet the highest security standards. We also comply with industry-specific requirements—for instance, those of the Federal Financial Supervisory Authority (BaFin) and new regulations like DORA for the financial sector. In short, you can trust that our platform is demonstrably secure and rigorously tested.
How does user and permission management work?
We provide an intuitive user management system that allows you to centrally control all users and permissions. Administrators can create or remove user accounts and precisely define who is allowed to view or use specific features and data. This gives you full control at all times over which individuals have access to what information. Permissions can also be organized at the team or department level to ensure your internal authorization concept is mapped accurately and to prevent unauthorized access.
Are all data stored in Germany?
The central storage location for your data is the Open Telekom Cloud in Magdeburg. If we employ external sub-processors, no data is permanently stored outside of our system. Should selected sub-processors be engaged for specific processing tasks, this takes place exclusively under our control and within the EU. Permanent external data storage by third parties is excluded. Your company’s internal information is stored according to a deletion policy agreed upon with you. This ensures you maintain data sovereignty while benefiting from German data protection standards.
Is there a Data Processing Agreement (DPA), and where can I find the sub-processors?
We have already integrated a Data Processing Agreement (DPA) pursuant to Article 28 GDPR into our General Terms and Conditions. You do not need to sign a separate DPA—the necessary data protection provisions automatically apply when you use our service. This DPA also transparently lists all sub-processors we employ. You can therefore always see which subcontractors we use to provide our services.
